Guidelines for Rental of "Ropewalk" for Private Functions

ATTENTION ALL CLUB MEMBERS
ALL CLUB RENTALS

(Groups of 21 or more or any size with caterer)
MUST BE HANDLED BY APPLICATION IN ADVANCE

DO NOT WRITE YOUR PRIVATE RENTAL FUNCTION ON THE SOCIAL CALENDAR. IT WILL BE RECORDED AS SOON AS THE APPLICATION IS APPROVED AND CHECK IS RECEIVED.

The Board of Governors feels that the membership should be free to enjoy the Club facilities at all times and that rental of the “Ropewalk” for private functions will inevitably restrict that freedom. Therefore, private function rentals are only permitted under the following guidelines:

   1  A private function of any size involving a caterer is considered a rental.

   2  A private function is defined as any group of 21 or more persons and is required to be hosted and attended by a member in good standing.

   3  All private rental functions must be approved by the Rental Manager or designee.

   4  Private rental functions can only be scheduled on days within the following dates and time:

a  April & May opening day thru the Thursday before Memorial Day
b  June - Monday thru Thursdays
c  Sept & Oct - Day after Labor Day thru the weekend before Closing
d  The “Ropewalk” is only available for rental between the hours of 0900 and 2200

   5  The Host Member agrees to take specific actions to minimize the interference of the function upon normal operation of the Yacht Club. Members may not be denied entry to the Club or the use of its amenities during a private function.

   6  Prior to approval the Rental Manager will evaluate all factors related to the rental function:

a  Group size (not to exceed 100 persons)
b  Type of occasion & duration of the event
c  Food service, including whether it will be prepared on or off premises
d  Music, dancing and other activities, all must comply with Town Noise Ordinance
e  Concurrent membership activity
f  And any other pertinent details

   7  Fees and security deposit:

a  The rental fee and security deposit must be paid in advance; checks must be from the Host Member
b  Rental fees will not be accepted without a signed rental agreement
c  The rental fee is based on attendance
      $250.00 for 21-50 persons
      $500.00 for 51-100 persons
d  A $100 security deposit is required and will be returned pending acceptable compliance to rental guidelines.

   8  Wedding receptions are restricted to those where the bride or groom is a direct family relation of the host member (i.e. son or daughter, not nephew or niece).

   9  The Host Member is completely responsible for all details of the function, including proper conduct of those attending. Host Member must be in attendance for the entire function.

   10  Club dishes, cookware, and similar items are not available for private functions; such items are to be provided by the host. If function is catered, AYC cupboards will be locked.

   11  It is the responsibility of the Host Member to insure that the “Ropewalk” and grounds are cleaned up immediately following the function before the Host Member departs the Club. For late evening functions where this may not be possible, clean up must be completed by 0700 hours the following day.

   12  In the event of the Host Member’s failure to satisfactorily clean up the “Ropewalk” the $100 security deposit will be forfeited. (See Cleaning & Closing the Club for guidelines.)

   13  The Board or its designee may assess additional fees to the Host Member for breach of the Rental agreement.

   14  It is not the responsibility of Club employees to assist with table and chair set up for rental events. The Dockmaster will determine availability of employee’s assistance.

   15  Guest parking is not allowed on Club grounds during private functions. Non-member guests should seek off-site parking.

   16  No smoking or open flames are allowed in or on the premises; this prohibits the use of candles, torches, candles in bags, illuminaries etc.

   17  Perkins Park, next to the Arundel Yacht Club, is not part of the facility and cannot be used.

   18  The Arundel Yacht Club does not have handicap accessible restrooms. If there is a need, the Host Member is responsible for the rental of a portable handicap accessible restroom unit.
